Privacy Policy

Last Updated: March 2026

1. Introduction

Welcome to familypetmanager.com ("we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy governs the data collection and usage practices of our application.

2. Information We Collect

We collect personal information that you voluntarily provide to us when you register on the platform. This includes:

  • Personal Information: Names, email addresses, phone numbers, and home zip codes.
  • Pet Information: Names, species, breeds, medical alerts, microchip IDs, and photos of your pets.
  • Multimodal Data: Images of historical paper records, veterinary certificates, and intake forms uploaded for AI-assisted digitization.
  • Geolocation Data: If you use any "Near Me" search functionality, we may temporarily request your browser's location to filter local results.

3. How We Use Your Information

We use the collected information primarily to provide, operate, and maintain our platform. Specifically, we use it to manage pet profiles, send automated system notifications (such as "Missing Pet" or High-Urgency Recovery Alerts), and facilitate communication between finders and owners. We also provide authorized Law Enforcement (LEO) officials with chronological provenance history for public safety and animal welfare verification.

4. Third-Party Sharing & Infrastructure

We do not sell your personal data to data brokers. We only share information with third-party service providers that perform essential services for us, including:

  • Cloud Infrastructure: AWS (Amazon Web Services) and Vercel for secure database storage and server hosting.
  • High-Urgency Communications: **AWS SNS** and **Twilio** for rapid recovery alerts, and Mailgun for automated transactional emails.
  • Authentication: Google (for users who choose to log in via Google SSO).

5. The "Public Handoff" (External Registries)

To increase the chances of reuniting lost pets with their owners, our platform integrates with external verification tools, such as the American Animal Hospital Association (AAHA) Universal Microchip Lookup tool. When a user searches for a microchip ID on our platform, that query may be securely transmitted to external registries to determine where the chip is registered. Any interaction with or data submitted directly to those external registries is governed strictly by their respective Privacy Policies, not ours. Information marked as 'Public' (e.g., via the Public Profile toggle) may be indexed by search engines and viewable by anyone with the link.

6. Sponsors and External Links

Our platform may display logos or links to third-party sponsors. We do not track your activity on behalf of these sponsors, nor do we sell, rent, or share your personal information or your pet's data with them. If you click on a sponsor's link, you will be directed to their website. Once you leave our platform, our Privacy Policy no longer applies, and your data and browsing activity will be governed exclusively by the third party's own privacy policies and terms.

7. Your Data Rights (CCPA/GDPR)

We empower you with high-security tools to manage your digital footprint:

Right of Access (Download)

You may export a comprehensive archive of your profile and pet association logs in a portable JSON format at any time via your account settings.

Right to be Forgotten (Scrub)

We provide a high-security "3-Step Verification" flow for data scrubbing. Every deletion request requires (1) UI confirmation, (2) secondary warning, and (3) a time-sensitive Email OTP (2FA) to finalize the irreversible redaction of your PII.

Clinical Preservation Policy

To maintain animal life-safety and clinical health history, pet records that have been transferred to new owners will be **Anonymized** rather than deleted. All human PII (Name, Email, Phone) will be scrubbed, but the pet's medical provenance will remain for the safety of the animal.

8. AI Privacy & Processing

We use **Gemini 1.5 Flash** (via Google Vertex AI) to facilitate "Paper-to-Digital" record migration and data evolution. Images uploaded for OCR are processed temporarily to extract pet signalment. This data is not used for external model training. User-submitted breed and color data is aggregated anonymously to evolve our community registries.

9. Contact Us

If you have questions or comments about this Privacy Policy, you may contact our Privacy Officer at: privacy@familypetmanager.com

10. Law Enforcement Cooperation

To ensure public safety and the humane treatment of animals, authorized Law Enforcement (LEO) and Animal Welfare officials may be granted access to chronological "Provenance Logs." This includes ownership history and medical compliance data associated with an animal's microchip ID.
